Explanation of the different titles of an asset

Each asset created on the Railnova platform has a configuration describing the titles of the Admin, Telematic owner, ECM and Asset Operator. These titles, as well as the user roles and their permissions, define the actions that can be performed by these entities when managing assets on the platform.

Viewing titles

As a Railnova administrator, you can easily review the companies that are assigned to the different titles directly in the admin menu by navigating to the Assets section.

You can also narrow down your search on ECM, Admin, Asset Operator and/or Telematic owner by using the filters at the top of the page and after hitting the blue "Search" button.

After clicking on the blue ID number, you'll be redirected to the detailed view of the asset. Scroll down on this page to the section "Config", and review the companies registered under the different titles.

Note that these titles don't automatically share the asset with other companies. If another company than the admin is ECM and/or Asset operator, they won't automatically see the asset on the platform unless the admin company shares the asset as explained in this article.

Titles

Here's an overview of what the different titles mean and what these titles allow you to manage on the Railnova platform if your user role has sufficient permissions.

Admin and telematics owner

The company that owns the asset and the data coming from the installed Railster, manages the vehicle and its installed Railster on the Railnova platform, and can perform the following actions:

  • Share assets with clients or partners on the platform and manage their permissions

  • Carry out further actions as described in the following article

ECM

The company designated as the Entity in Charge of Maintenance can perform the following actions:

  • Homologations / Aptitudes: the company registered as ECM of the asset on the Railnova platform can create and add homologations to an asset

  • Downtime analysis: only the fault categories defined by the ECM of the asset can be selected when creating/closing a corrective event on the Railnova platform

  • Preventive maintenance settings: the ECM defines and assigns the component structure (maintenance plan) to an asset

  • Counters: maintenance counters can only be created by the ECM as these counters are used for the maintenance plan assigned to the asset

    • Create detailed status types to provide supplementary information about the operational status of an asset

    • Set up restrictions (restriction types)

    • Set up intervention types and handover process

    • Assign a component structure to an asset

  • Custom fields: the ECM can define custom fields (mandatory or not) for the defect report form

  • Asset document groups: the ECM can create an asset document group to display it in the Digital Logbook.

Asset Operator

The company responsible for operating the asset which can perform the following action:

  • Configure an Asset preparation to document a quick servicing between shift changes or extensive servicing before and after an asset has operated.

Modifying titles

Please note that you can't modify any of these registered titles by yourself. In case an update on any of the titles is desired, please get in touch with our Customer Success team via the chat function on the website or by emailing support@railnova.eu requesting the modification.

Please bear in mind that a modification cannot be applied without the previous written consent from both the previous and new entities.

The only exception is if the company registered as the asset's administrator on the platform requests to modify the ECM and/or Operator. In this case, the request of the asset's administrator will be applied.

Modifying the titles "Admin" and "Telematics owner" still requires consent from both parties in advance.

Note that these asset titles can only be assigned to paying customers. "Free plan" companies cannot be admin, telematics owner, ECM or operator.

If you wish to change the ECM of an asset, the previous ECM must first close all open restrictions and interventions. If any maintenance items are still open, the ECM can't be modified.

After an ECM change, for instance, the previously assigned component structure (maintenance plan) is removed, which enables the new ECM to assign its own component structure (maintenance plan) to the vehicle.

Changing the Admin company for the asset will result in

  • Removing the asset from every existing sharing
    The new admin company will have to share the asset with their partner companies as needed.

Changing the ECM company for the asset will result in

  • Converting the last status to a standard one (operational, degraded mode, immobilised) and removing the detailed status if there was one

  • Clearing the component structure (=maintenance plan) of the asset

  • Changing the configuration applied to/for...

    • Corrective defect creation (custom fields)

    • Restrictions (restriction types)

    • Operational statuses (detailed statuses)

    • Interventions (intervention types)

    • Fault category groups

Changing the Telematic Owner company for the asset will result in

  • Updating the data retention for data coming from this asset

  • Removing the custom configuration on the Railster created by the previous telematic owner company

Please note that the new entity will have access to the history of the telematics data, including data from the custom configuration created by the previous title owner.

Changing the Operator company for the asset will result in

  • Removing the asset preparation configurations created by the previous operator

Note that the new operator will be able to view the asset preparations performed by the previous operator.
