New defect report

Make a notification for maintenance

The New defect report form enables you to file a report for corrective maintenance and transmit a corrective maintenance notification to your colleagues and partners.

The form is directly available from the homepage, either at the top-left of the page, or under the Railfleet section.

Creating a new defect report

By clicking on the button "New defect report", you'll be directed to the form where you can create and submit a new defect report.

  • Select an asset from the dropdown list

  • Tick the checkbox "Corrective" under "Maintenance type"

After filling in the two fields, you can enter a description of the defect, and select its impact on the current traffic, and on the locomotive status.

Impact on current traffic:

  • No impact: the traffic is not affected.

  • Train cancelled: the train can no longer continue.

  • Train delayed: the train can continue its course, but it's delayed.

  • Rescue request: a rescue had to be requested.

Impact on the locomotive status:

  • Operational: the locomotive is operational.

  • Degraded mode: the locomotive can still be used but is not fully operational.

  • Immobilised: the locomotive can no longer drive.

If you see that an additional dropdown list or field is displayed in this section, it is because your company's admin has set up a label category and activated the checkbox "is event related" as explained in the following article.

If you have any questions about this dropdown list or field, please contact your company administrator directly.

It's also possible to add a restriction if necessary, e.g. "cannot drive over 80 km/h"

Once everything is filled in, please click on the "Create event" button. A green message will appear on your screen, informing you that the event has been successfully created.

The event will be visible on the Operational Dashboard and can be scheduled for an intervention.

Enhanced AI Defect Classification

If your company uses the Downtime analysis feature and is registered as the ECM of the asset on the Railnova platform, you can set up fault categories as described in the following article.

Once configured by your company admin, the fault category fields will automatically appear when you create or close a defect report or corrective event.

Simply choose the desired element from the dropdown list "Event categorisation":

  • Thanks to real-time suggestions powered by LLM-based AI, the top 5 recommended categories appear as soon as defect details are entered. The suggestions update dynamically as more information is added, acting as both a guide and a soft check on input quality.

  • Context-aware interactions support your work at key moments as categorisation now appears as a dedicated panel during the creation of a defect report (if authorised) and again at closing, with updated AI suggestions based on Return of Experience (REX) notes.

  • If you don't need to categorise defects or don't have the technical background or expertise, you can skip initial categorisation. This preserves data quality and reduces friction while your workflow remains undisturbed.

Additional defect report fields

Note that the ECM of the asset you're creating a defect report for may have created custom fields that are not mentioned above. In that case, please fill in these additional fields accordingly. Any field with an asterisk is mandatory.

If you're unsure of what to select or write in these additional fields, please get in touch with the ECM of the asset directly.

Creating a servicing

Please note that the Servicing option is being replaced by the new "Asset preparation" module. A "servicing" or "operational maintenance" event is only transmitted thanks to a notification rule (category "Create servicing event") because it does not concern maintenance. These servicing reports do not appear on the operational dashboard and cannot be scheduled in an intervention. If you choose servicing, you'll need to fill in the location and description. Please note that a servicing notification is sent only to Operations, as this doesn't concern Maintenance. This is a notification related to e.g. Onboard Safety Equipment, Sealing, ATESS cassette, Filling of supplies (sand, etc.)

When you have finalised and included all information about your event, don't forget to save it by clicking on "Create event", and you're all set!
